Please read carefully. These policies will be strictly enforced.
As a registered attendee or participant (“you”) of the 2019 North American Commercial Vehicle Show (the “Show”) agree to the terms and conditions (collectively, the “Agreement”) with the North American Commercial Vehicle Show Partnership (“NACVSP”). If you are completing the registration on behalf of another individual, you warrant that you have made the attendee or participant aware of this Agreement and they acknowledge that you are accepting these terms and conditions on their behalf.
Granting Attendee Registration. The Show is a strictly “Business to Business” event for fleet industry professionals, manufacturers and service providers. Validation of industry participation may be requested at any time. As such, NACVSP, in its sole discretion, reserves the right to accept or decline an individual’s registration for the Show. Further, NACVSP and its appointed representatives, reserves the right to prohibit entry, cancel registration or remove any individual (registered or not), who in their sole opinion, is not, or whose conduct is not, keeping with the character and the purpose of the event. Without limitation, NACVSP reserves the right to deny admission to anyone for any reason.
Age Restrictions. No one under the age of 16 will be allowed on the show floor at any time. For liability and insurance reasons, no one under the age of 18 will be allowed during setup/tear down of the event. Alcoholic beverages will be served at the Show, no one under the age of 21 will be permitted to consume alcohol in accordance with the law. See “Prohibited Conduct” for consequences of aiding underage drinking at the Show.
Animal Restrictions. No animals will be allowed on the show floor without prior written consent of the NACVSP staff. Service animals will be allowed but must be kept on a leash and be well behaved.
Attendee Dress Code. Required dress code is professional/business casual attire. No clothing that may be interpreted as offensive, lewd, provocative, tattered or overly casual is allowed. NACVSP reserves the right to refuse admission to any events affiliated with the show without remedy or refund.
Admittance. Registration entitles you to admission to only the 2019 North American Commercial Vehicle Show and associated events if applicable. All other costs associated with your participation (including without limitation: travel, accommodation, visa, board, etc.) shall be borne solely by the registrant.
Substitution Policy. After registering for the event, all registration fees are nonrefundable. You may submit a substitution (subject to availability) at the sole discretion of the North American Commercial Vehicle Partnership, up until the first day of the show, 10/28/19.

Hours of Operation: 9:00 am - 5:00 pm EST through January 1, 2019 and 9:00 am - 8:00 pm EST beginning January 2, 2019 through Thursday, March 28, 2019.
Badge Policy. Once you have received your badge on site, it cannot be changed, substituted or reissued to a different person. Badges must always be worn in the GWCC during the Show.
Cancellation and Refund Policy. Attendee fees are non-refundable. All applicable fees are due upon registration. If payment is insufficient or declined for any reason, NACVP may refuse to admit you and shall have no resulting liability.
Important Housing Information. EventSphere, the only official housing provider and NACVSP are two separate entities. Hotel cancellation policies will differ and will not be notified of your registration cancellation. Please contact the housing company directly for any questions regarding your hotel reservations. NACVSP will not be held liable for any fees associated with failing to cancel hotel reservations.

Retroactive Fees Adjustments. Once you have registered, your fees will not be adjusted downward based on any discount codes, special promotions received, or any other reason.
Event Cancellation. If for some unforeseen reason NACVSP cancels or shortens the Show, or a portion there of, the registrant agrees its sole remedy is the return of all or a portion (as applicable) of the registration fees already paid. Registrants will be responsible for cancellation of travel arrangements, housing, visa and any other applicable fees.
Payment. For paid elements of the Show are due upon registration. If such payment is insufficient or declined for any reason, NACVSP will refuse admission to the Show and shall have no liability in that regard.
Visa Requirements. It is solely your responsibility to comply with any government visa requirements and failure to do so does not constitute a basis for a refund.
Discount Codes and Special Rates. If you register using a special rate that is not applicable to you, you hereby give NACVSP the right to charge your card for the difference upon notice that NACVSP does not agree with your selection of a special rate. All determinations of special rates are in the sole discretion of NACVSP. Event if you meet the definition and requirements of a special rate, NACSP reserves the right to not provide any discount or promotion.
Use of Likeness:
NACVSP and its representatives will be recording, filming and photographing during the Show, which may capture your likeness, in multiple media platforms throughout the event. By registering for the meeting and attending sessions and events, you consent to NACVSP's use of your likeness in any media distribution, broadcast, use or dissemination, in perpetuity, without any further approval from or compensation to you on its website and in its marketing materials.
Limitations on use. By registering, you agree not to share, transfer, sell or trade your badge for access to restricted areas with any other attendee or exhibitor. Substitutions prior to show start are allowed, see above limitations. If you violate this policy, NACVSP may cancel your attendance, remove you from the premises and retain any payments.
Audio, Video and Digital Recording Policy. No attendee or exhibitor may record audio or video of sessions at the Show. Exhibitors may take photographs of their own booth within the show for purposes of marketing promotion, etc. No attendee or exhibitor may take photographs or video of booths or equipment without the express permission from the exhibiting company. If discovered taking video or pictures of competitors’ booths, you will be asked to leave the Show with no remedy or refund.
Unauthorized Solicitation Policy. Unauthorized solicitation in the Exhibition Hall is prohibited. Any unauthorized non-exhibiting manufacturer or suppliers observed to be distributing information or soliciting business in the aisles, in an exhibitor’s booth, or public area in or around the GWCC and contracted hotels will be asked to leave immediately.
Any non-exhibiting suppliers that purchase a Non-Exhibiting Supplier pass will be allowed to conduct business in public areas of the GWCC but are restricted from distributing information in exhibitor’s booth’s without consent. You are also restricted from soliciting exhibitors with booths until the last day of the show. Any person found violating these conditions will be requested to leave the show without remedy or refund of any admission fees.
Outboarding Policy. No exhibitor or non-exhibiting supplier may hold a competitive event at the GWCC or contracted hotels for the purpose of promoting to the Show attendees during show hours without the express written consent of NACVSP. If an exhibitor or non-exhibiting supplier is found holding a competitive event, they will be asked to cancel the competing event. NACVSP reserves the right to remove the exhibitor from the show, revoke admission from any registered employees and remove any record of the exhibitor from any show materials without any refund or remedy of fees paid or owed or accepting liability for lost fees/revenue of cancelling competing event.
Weapons Policy. No guns, knives or weapons of any kind are allowed on GWCC property during the setup, show days, or tear down of the Show. Any one found with a weapon may be requested to leave and police intervention may be required. Report any threats, weapons seen, or acts of violence to Security staff immediately.
No Smoking Policy. For the health and consideration of all attendees, smoking, including e-cigarettes, is not permitted at the Show, such as but not limited to, conferences, workshops, meals, receptions and in the exhibit hall. Attendees would obey any signs preventing or authorizing smoking in specified locations.
Misconduct Policy. NACVSP is a professional organization committed to providing a safe conference and exhibition experience. Attendees are expected to be respectful to other attendees, exhibitors, NACVSP staff, representatives and contractors. Harassment in any form and any other misconduct will not be tolerated; violators will be addressed promptly and seriously. Consequences, such as but not limited to, expulsion from the Show or contacting Atlanta Police/GWCC Security for intervention will be implemented immediately upon discovery.
Public intoxication, service to underage attendees and belligerency. Alcoholic beverages will be served throughout the Show. Only 21+ attendees may request or drink any alcoholic beverages provided by exhibitors or during NACVSP events. Proof of ID may be requested and must be produced immediately. If proof is not available, the beverage will be confiscated, and attendee will be required to leave if so requested by security, Levy staff or NACVSP staff. Service to underage attendees will not be tolerated. Anyone found providing alcoholic service to underage attendees will be subject to immediate expulsion and possibly prosecuted.
Belligerency and public intoxication will not be tolerated and subject to immediate expulsion and possible prosecution. Report all infractions immediately to security staff or NACVSP staff for immediate attention.
Reporting of Unethical or Inappropriate Behavior. Contact an onsite NACVSP staff member with concerns or questions for through follow-up. You can reach us at the show office or if you see a security staff member, to locate the appropriate person. If you feel you are in immediate danger, you may dial 911 for police intervention. If need to report a security risk, you may dial 4911 from a red courtesy phone located throughout the facility or dial 404.223.4911 from your personal phone to reach GWCC Security staff.
Unsecured Items Policy. Personal belongings should not be left unattended anywhere in the GWCC. Unattended items are subject to removal by security. NACVS is not responsible for unattended items that are destroyed, damaged, or stolen.
Intellectual Property. All intellectual property rights in and to the Show, content, and all materials distributed at or in connection with the Show are owned by NACVSP or the Show sponsors or presenting speakers. You may not use or reproduce or allow anyone to use or reproduce any trademarks (including without limitation “NACVSP”, “NACV”) or other trade names appearing at the Show, in any Show content or in any materials distributed at or in connection with the Show for any reason without the prior written permission of NACVSP.
For the avoidance of doubt, nothing in this Agreement shall be deemed to vest in you any legal or beneficial right in or to any trademarks or other intellectual property rights owned or used under license by NACVSP; nor does this Agreement grant to you any right or license to any other intellectual property rights of NACVSP or its contributors, all of which shall at all times remain the exclusive property of NACVSP.
Disclaimer of Warranties, Limitation of Liability
NACVSP gives no warranties in respect of any aspect of the Show or any materials related thereto or offered at the Show and, to the fullest extent possible under the laws governing this Agreement, disclaims all implied warranties, including but not limited to warranties of fitness for a particular purpose, accuracy, timeliness, and merchantability. The Show is provided on an “as-is” basis. NACVSP does not accept any responsibility or liability for reliance by you or any person on any aspect of the Show or any information provided at the Show.
Except as required by law, NACVSP shall not be liable for any direct, indirect, special, incidental, or consequential costs, damages or losses arising directly or indirectly from the Show or other aspect related thereto or in connection with this Agreement.
The maximum aggregate liability of NACVSP for any claim in any way connected with, or arising from, the Show or this Agreement, whether in contract, tort, or otherwise (including any negligent act or omission), shall be limited to the amount paid by you to NACVSP under this Agreement.
NACVSP’s failure to exercise any right shall not be deemed a waiver of any further rights. NACVSP shall not be liable for any failure to perform its obligations where such failure results from any cause beyond NACVSP’s reasonable control. If any provision of this Agreement is found to be unenforceable or invalid, that provision shall be limited or eliminated to the minimum extent necessary for this Agreement to otherwise remain in full force and effect and enforceable. This Agreement is not assignable, transferable or sub-licensable by you except with NACVSP’s prior written consent. This Agreement shall be governed by the internal laws of the State of Illinois and the parties shall submit to the exclusive jurisdiction of the federal and State courts located in the State of Illinois.
A party that substantially prevails in an action brought under this Agreement is entitled to recover from the other party its reasonable attorneys’ fees and costs. Both parties agree that this Agreement is the complete and exclusive statement of the mutual understanding of the parties and supersedes and cancels all previous written and oral agreements, communications and other understandings relating to the subject matter of this Agreement, and that all modifications must be in a writing signed by both parties, except as otherwise provided herein.
No agency, partnership, joint venture, or employment is created as a result of this Agreement and you acknowledge that you do not have any authority of any kind to bind NACVSP in any respect whatsoever.
